The purpose of this document is to be as helpful in your event planning as possible. Hence the layout above and the various policies below.

Security

We advise you that the security of the accessible parts of the premises during your hire is your responsibility during your time on the site. We do not cover your property or the property of your guests. It is advisable for the side entrance to be monitored so that anyone entering through that entrance is challenged. If you are using the main church and then move to another part of the building it is advisable to close the front doors

or have someone monitoring the room..

Ware CAP Job Club is committed to ensuring the health, safety and welfare of our members and volunteers so far as is

reasonably practicable, as well as members of the general public who may be affected by our activities.

Responsibilities

To ensure the proper management of health and safety, the Hirer is allocated the responsibilities outlined below during the rented period.

Overall Responsibility

The hirer accepts overall responsibility for all matters including those regarding health, safety and welfare. If unable to be present personally at any period, the Hirer shall appoint a substitute who will be in charge of the hire period for that day.

The Hirer Group

The Hirer, by way of its representatives, accepts its responsibility for health and safety, including the following duties:

RISK ASSESSMENT PROCEDURE

Regular Hire

In the case of the regular venue, a risk assessment will be carried out and written up by the Hire Group representative. This assessment will be reviewed at least annually and in-between if there are substantial changes to the venue which may result in increased risk. Hirers and helpers should immediately report to the Hirer representative or to their appointed substitute any hazard or potential hazard at the venue place on the day.

The risk assessment will be based on the following 5 step process

Fire and Evacuation Procedures


In the event of a fire the nominated fire officer, assisted by the Job Club Manager or their designated substitute, shall immediately initiate and then supervise the evacuation procedures. Suitable fire extinguishers at the venue will only be used if there is a risk that the fire may block the exit from the building and the user is trained in their use.

The Job Club Manager who has the responsibility to nominate a substitute if he/she cannot be present at any meeting.

Accident Reporting

The accident/incident book shall be available at each meeting. Any accident, injury or untoward incident must be recorded by the nominated person or Job Club Manager in the accident and incident book with full details of how the incident, accident or injury happened.
